All entries are automatically saved to your browser localStorage. Use "Backup JSON" or "Backup Excel" in the Overview tab to create files you can retrieve years later.

Start fresh, or bring across your existing records. In your old browser-based dashboard use
Settings → Backup JSON, then upload that file here. This replaces everything on the server,
so it is meant as a one-time move.
🙈 Privacy Mode is on. Summary cards, charts and amounts are hidden. Data entry and lists still work normally. Click Show Figures to bring them back.

Add Cashflow Entry
Making a sale? Use the Sales Entry tab instead so it links properly to invoices and payments. Income here is for non-sales money only - interest, refunds, grants, insurance payouts.
Paying a supplier for a Purchase Order? Use the 💰 Record Payment button on that PO in Document History instead - it tracks the payment against the PO and lets you classify it as an Asset or an Expense correctly. Use this form only for expenses that aren't tied to a PO.

Cashflow Trends
Cash Position by Account
Running balance as of today, based on all cashflow entries, invoice payments, direct sales, and adjustments recorded so far.
Reconcile All Accounts
Enter what each account actually held on a given date - from your bank statement, M-Pesa balance, or physical cash count. Corrections are calculated for you and posted as reconciliation adjustments, not as income or expenditure.
Only accounts where you enter a figure are touched.
Opening Balances & Adjustments
Set a starting balance for each account when you begin using the dashboard, or plug a gap between what the numbers say and what's actually in the account - a loan received, an owner contribution, a reconciliation correction, etc. Use a negative amount to reduce a balance.
Staff Advances & Float
Money given to staff before they spend it. The advance leaves your cash and becomes money the employee owes you, until they account for it with claims or return the balance.
Interest-Earning Placements
Money placed in fixed deposits, money-market funds, or other interest-bearing accounts. Placing funds moves cash out of the source account into Investment / Deposit; interest earned is booked as Other Income and added to the placement.
Cash Flow Statement
Opening balance, cash in, cash out, and closing balance for each account over a chosen period - available cash vs. expenditure, side by side.
VAT Position
Output VAT charged on sales, less input VAT paid on purchases. Inventory and assets are held excluding VAT because reclaimable input VAT is a receivable from the revenue authority, not part of the item's cost.
Profit & Loss Statement
Revenue and expenses for a chosen period, broken down by category - asset purchases are excluded, since they don't belong on a P&L.
Monthly Performance Export
Month-by-month figures for Excel analysis - revenue, COGS, gross profit, expenses, net profit, cash movement and closing balances, all in one sheet. Use it to sense-check trends and spot anything that looks wrong.
Reconciliation Snapshot
Every headline number in one download - Cash by account, Income, Expenses, Assets, Profit/Loss, and Outstanding balances - so you can sense-check that everything adds up.
Bank Statement Reconciliation
Upload a CSV export of your bank statement to compare it against your Bank account entries here. Expects columns for Date, Description, and Amount (or separate Debit/Credit columns) - most bank exports work as-is.

Sales Awaiting Invoice
Every direct sale that isn't yet linked to an invoice, in one place - no more cross-checking sales against Document History by hand. Especially worth watching for anything paid on Credit.

Statement of Account
Pulls together a customer's invoices, due dates, and the payments recorded against them (via the 💰 Record Payment button on each invoice in Document History) into one statement showing what's outstanding.
Asset Register
Every purchase order payment classified as "Asset / Inventory Purchase" lands here - stock and equipment you now own, kept off the Profit/Loss statement. Record these from the 💰 button on a PO in Document History.

Add Inventory Item
Define what you stock and how it behaves. Resale = bought and sold as-is. Raw Material = consumed by production or lab work. Manufactured = made from raw materials, held as finished stock. Costs are tracked as weighted average per unit.
Stock On Hand
Receive Stock
Record stock arriving from a supplier. Link it to a Purchase Order to keep the paper trail, or record a direct receipt. Receiving updates quantity and recalculates the weighted-average unit cost.
Define Product Line / BOM
How this works: the Product Line is the name of what you sell or perform. The Stock Item This Creates is only needed when making something you hold in stock and sell later - it is a separate inventory record that receives the produced units. For lab tests and services there is no stock item, because nothing is put on a shelf. If the stock item does not exist yet, click + New and it will be created from the product line name.
A BOM is the recipe for one unit of a product line. Manufactured creates finished stock you can sell later. Service / Lab Test consumes materials with no stock output - the cost goes straight to Cost of Sales when the work is delivered.
Product Lines / BOMs
Record Production / Lab Work
Consumes raw materials per the BOM. Manufactured runs create finished stock at full cost (materials + labour + overhead). Service/lab work posts that cost straight to Cost of Sales.
Bulk Import / Stock Take
Paste rows straight from Excel (or upload a CSV) to create items, receive stock, or record a stock take in one go. Columns, in order:
Item Name | Quantity | Unit | Unit Cost | Type | Category Only Item Name and Quantity are required. Type: raw / resale / finished (defaults to raw).
Stock Valuation Report
Reconstructs quantity and value held as at any past date by rewinding stock movements. Use the last day of a month or your year-end for closing stock figures.
⚠️ Negative Stock
These items show less than zero on hand, which usually means consumption or sales were recorded before the matching receipt. Record the missing receipt, or use Adjust to correct the count.
Purchases Awaiting Stock Receipt
Asset purchases recorded against a Purchase Order that haven't been received into stock yet. The Asset Register already has the value; receiving here records the quantity so it shows up as inventory. Equipment and other non-stock assets can be dismissed.
Chemical Preparation Records
Batch records submitted by staff. Deviations are highlighted - review these before the batch is used or sold.

Products & Services Catalog
Product Categories
Replaces your current product categories below with your four service lines and their typical sub-services. You can still rename/add/remove after applying.
Purchase Categories
Used for line items on Purchase Orders - what you buy from suppliers, not what you sell. Kept separate from Product Categories above.
Campaigns / Offers
These appear in the Sales Entry Campaign dropdown.
Tax Types
These appear as options on Sales Entries and Documents. Rates are defaults - still editable per entry.
Asset Categories
Used when classifying a PO or expense payment as an asset purchase. Placeholder list for now - a full inventory module can build on this later.

Document Types
Define your own document types (e.g. Credit Note, Receipt, Statement) alongside the defaults. Each has its own prefix and running counter — if last invoice was #64, set its counter to 64 so the next is #65.

Default Terms & Conditions (Fine Print)
This appears as fine print on all documents. You can override per document if needed.
Team Data Entry
Give colleagues the separate finance_dashboard_entry.html file — it only has entry forms, no totals, reports, or other people's data.
Option A: Live Google Sheet Sync (recommended)
Set up the Apps Script backend once (see the Code.gs file provided), paste the Web App URL below, and paste that same URL into the entry file before sharing it. Colleagues' submissions land in the Sheet; click "Sync Now" here whenever you want to pull them in.

How Your Data is Saved
Auto-save: All data is saved to browser localStorage every change. Survives refreshes.
JSON Backup: Click "Backup JSON" for a full restore file. Use "Load JSON" to restore.
Excel Backup: Click "Backup Excel" for a CSV file that opens directly in Excel. Perfect for year-end records.
Deleted Cashflow entries, Sales, Pipeline opportunities, Customers, Suppliers, and Documents land here first, so an accidental delete isn't permanent. Nothing is removed for good until you empty the trash or delete it forever individually.
